POSITION PROFILE

The Partnership Support Specialist is an experienced administrative professional with deep knowledge of youth sports and school operations who is a key member of the Tampa Bay PCA team. This role directs the planning, executing, and stewarding of our local recognition programs in alignment with chapter strategic goals as well as supports the Sr. Partner Operations Manager with PCA workshops and the Character Development Program.

KEY RESPONSIBILITIES

  • Administratively supports the Chapter’s Character Development Program: Coordinates printing of program materials, orders supplies, collates program binders, prepares physical packets for each park, orders catering/materials for trainings, interacts weekly with trainers to ensure parks have needed supplies, and prepares the monthly visit and feedback summaries using the visit documentation form.
  • Actively supports the Chapter’s Character Development Program as a trainer/coach at assigned parks during the after-school and summer programs. 
  • Plans, implements, and manages the annual Triple-Impact Competitor Scholarship (TIC) and the Coach of the Year (COY) Programs. This includes managing the application platform/method, sending outreach communications to relevant constituents, coordinating social media posts promoting applications/nominations, identifying new sources for applicants/nominations, mobilizing chapter staff to solicit and follow up on applications/nominations, and guiding applicants to complete items as needed.
  • Selects and project-manages a team of reviewers to evaluate applications/nominations for TIC and COY Programs. Plans key calendared and ad hoc events, social media posts and other opportunities recognizing finalists and winners.
  • Measures, summarizes, reports, and suggests learnings on the progress and goals of the annual Chapter recognition programs to leadership regularly & upon completion, including growth of the TIC/COY Programs.
  • Builds and maintains a community of COY winners through regular engagement throughout the year: written communications, events, and social media.
  • Coordinates TIC Scholarship Program mentorship activities including recruiting, engaging, and building relationships with mentors who support scholarship finalists and winners, creating and implementing multiple events each school year for scholarship finalists, winners, and mentors, and keeps mentors engaged in overall Chapter news throughout the year.
  • Keeps Chapter database partner records up-to-date and appropriately marked for mass communications.
  • Conducts Jr. TIC workshops as a certified PCA Trainer and serves as point of contact for middle school administrators as needed.
  • Stays informed about issues and challenges facing local partners and recommends strategic considerations to Chapter leadership.
  • Creatively and expertly leverages existing PCA resources and tools to meet the needs of assigned partners and/or creates new tools and/or recommends edits for use by local partners as directed and approved by the Sr. Partner Operations Manager. This requires deep and current knowledge of PCA content and Tampa Chapter objectives.
  • General Chapter Partnership project or administrative support as directed by Chapter leadership.

QUALIFICATIONS

  • Bachelor’s Degree preferred or equivalent work experience of 5 years in a business environment involving project/deadline management, business writing, team projects.
  • Experience (3+ years min) working with youth sports programs demonstrating functional knowledge of typical roles, sports seasons, organization structure, and challenges programs face.
  • Experience and/or ability to teach, facilitate and lead group trainings.
  • Ideally committed  to becoming a certified PCA trainer.
  • Comprehensive knowledge of all PCA content, materials, and resources. 
  • Demonstrate proficiency in Microsoft Office Suite without on-the-job training; Salesforce/CRM and Google Suite experience preferred.
  • Highly organized and rarely makes mistakes with data entry.
  • Proven self-starter and experience with setting and managing own tasks and progress towards goals.
  • Exceptional ability to effectively and intuitively communicate in-person, over phone, via email (concise; appropriate tone and grammar usage).
  • Experience with and ability to provide key constructive feedback to adults with tact, as well as demonstrating receiving feedback professionally & incorporating learnings
  • Demonstrate comfort and experience with pitching a value proposition, storytelling, and confidently recommending how to leverage the services and resources an organization provides. 
  • Problem-solving skills with an ability to adapt and readily respond to needs. 
  • Conflict resolution skills and experience with expressing empathy for the experience of another within a professional context.
  • Team Player – collaboration internally and externally is a constant:  Program Manager Team, Partnership Manager Team, Marketing Team, Product/Content Team, etc.
